A practical guide to switching
A new booking system. A carefully planned move.
Your next booking system should make work easier—not put existing stays at risk. We help you plan the move, check the details and choose a launch date with your team. Keep your current service running until the handover is ready.
Start privately. Nothing is moved or connected by this enquiry.
Tell us what runs your hotel today
Your website, booking engine, channels, payment provider and the people who use them. We agree the scope and any migration or connection costs before you commit. You do not need to know the technical terms.
- Keep your website if it works for you
- Identify where availability is managed
- Agree scope, price and responsibilities
Protect the bookings you already have
Before a move, we review the exports your current system can provide. Import is assessed per system, not a universal one-click promise. The plan reconciles upcoming stays, guest counts, room allocations, deposits and cancellation terms against the original records.
- Keep an original export before changes
- Reconcile counts, totals and reservation references
- Use a secure agreed transfer—not the public contact form
Agree one source of availability
Automatic Booking.com and Expedia sync is not live today. Where suitable, a hotel may allocate separate rooms to direct booking with a documented update process. If your hotel requires shared live channel inventory, launch waits for a verified connection. Manual updates are not real-time sync.
- Room and rate-plan mapping
- Named owner for inventory changes
- No unprotected parallel selling
Test as a guest and as your team
Walk through dates, room choice, the final price, a reservation, its confirmation and cancellation. Test failed payments, conflicting bookings, delivery failures and restore before relying on the setup. Your team needs a clear daily view as well as a guest-facing website.
- Swish and Klarna need your merchant setup
- Verify the hotel email sender and delivery
- Check roles, exports and recovery
Make the handover a decision, not a surprise
The launch record names who approves, when availability changes hands, how the first bookings are checked and what to do if something fails. After a new booking, rollback must reconcile it first; restoring an old snapshot blindly could lose the stay.
- Agree the cutover and first-booking checks
- Train the team and name a support contact
- Keep existing agreements until handover is verified
Know the full cost before choosing
Booking Engine is €5 per hotel per month excluding VAT, with 0% anotherPillow booking commission. The €29 managed website includes it. Existing agreed free founding plans stay unchanged. Provider fees, external connections and migration scope are confirmed separately—not hidden inside a headline price.
- No paid activation from an enquiry
- No AI subscription needed for booking controls
- Security and recovery are not premium unlocks
